SFPA Job Descriptions

1. President or Co-Presidents. The President/Co-Presidents of this association shall be the Chief Executive Officer(s) (CEO) and will have management, vision, direction and control of the business and the officers of the association. The President(s) will preside at all SFPA meetings, appoint all chairpersons, and be an ex-officio, non-voting member of all committees. The President(s) will have the general powers and duties of management generally vested in the Office of President, and will have such other powers, duties and restrictions as may be prescribed by these bylaws.

2. Vice President. In the absence or disability of the President(s), the Vice President will perform all the duties of the President(s) and shall have the general powers and duties specified in the job description above. The Vice President will be responsible for collaborating with the Principal on appropriate Parent Enrichment topics/presenters. S/he will also provide acknowledgement of service to a specific member and/or officer in the form of a gift, as directed by the executive board, and perform such other duties as may be prescribed by the association’s president. The Vice President is tasked with soliciting event chairs and SFPA board cultivation. The VP is a member of the executive board of the SFPA.

3. Secretary. The Secretary will have all the general powers and duties associated with the Office of Secretary, such as distribution of minutes, making copies, writing and/or approving SFPA correspondence and will have other duties as may be prescribed by the association’s executive officers. The Secretary will keep, or cause to be kept, a book of minutes of all meetings and actions of the association. The Secretary will give, or cause to be given, notice of all meetings of this association. It is within the specific job duties of the Secretary to function as the Secretary of the Burgundy & Gray and Spring Festival fundraisers. The Secretary is a member of the executive board of the SFPA.

4. Treasurer.   The Treasurer shall be the Chief Financial Officer (CFO) of this association and shall keep and maintain, or cause to be kept and maintained, adequate and correct accounts of the properties and business transactions of this association, including accounts of its assets, liabilities, receipts, disbursements, P & L in consultation with the Business Manager, capital, and retained earnings.  The books of account shall, at reasonable times, be open to inspection by any SFPA member, the school President, and the Development Liaison. It is within the specific job duties of the Treasurer to function as the Treasurer of the Burgundy & Gray and Spring Festival fundraisers. The Treasurer is a member of the executive board of the SFPA. The Treasurer shall keep track of all monies and other valuables in the name and to the credit of this association with such depositories as designated by the school’s administrative policies.  S/he shall work in close collaboration and communication with the Business Manager and Administrative Assistant to the President concerning deposits, check writing, and record keeping. Unless another officer is given such responsibility by the association’s officers, the treasurer shall approve the disbursement of the association’s funds as may be ordered by the association; the treasurer shall render to the association’s President and the officers, whenever they request it, a written account of all his/her transactions as treasurer, and have such other powers and perform such other duties as may be prescribed by the President of this association, this association’s officers or these by-laws.

5. Communications Coordinator. The Communications Coordinator will send emails to inform members of SFPA events and volunteer opportunities to fulfill service hour requirements, solicit SFPA-related donations, and other SFPA related announcements, as directed by the executive board and approved by the school President, Business Manager, Administrative Assistant, and/or Assistant for Development. The Communications Coordinator will record service hours submitted by the members and submit those records by May 31st to the school’s Registrar and Business Manager. The Communications Coordinator is a member of the executive board of the SFPA.

6. Sports Boosters Chair. The Sports Boosters Chair will coordinate with the school Principal and Assistant Principal of Athletics & Activities any and all information about Booster Club annual passes and programs, the soliciting of advertisement, and the printing of the passes and programs through the registration packets. The Sports Booster Chair will coordinate staffing of the admissions table for all home games hosted by the school at which admission is charged, will arrange for and oversee the volunteers for the concession stands during the football / volleyball and basketball seasons, and will coordinate purchasing of supplies through volunteer effort. The Sports Booster Chair will organize and publicize the Annual Pancake Breakfast, Breakfast of Champions, and will assist the Assistant Principal of Athletics & Activities in the hosting of the fall, winter, and spring sports banquets. The Sports Booster Chair is a member of the executive board of the SFPA.

7. VAPA Boosters Chair. The Visual and Performing Arts (VAPA) Boosters Chair will coordinate with the school Principal and Assistant Principal of Athletics & Activities any and all information about fundraising for programs/services in the areas of Choir/Music Ministry/Drama, the soliciting of advertisement, and the printing of programs for events. The VAPA Booster Chair will coordinate staffing of the admissions table for all performances hosted by the school at which admission is charged, will arrange for and oversee the volunteers for the concession stands during shows, and will coordinate purchasing of supplies through volunteer effort. The VAPA Booster Chair will assist the VAPA Director in the hosting of a year-end VAPA banquet. The VAPA Booster Chair is a member of the executive board of the SFPA.

8. Grade-Level Representatives: There will be 1-3 Grade-Level Representatives (GLR) for each grade. The GLR’s will be expected to participate and perform various services at all functions, as directed by the executive board, which will enable the association to successfully continue their support of the school's academic and co/extra curricular programs. Each representative will be a liaison to a specific grade tasked with disseminating information, soliciting volunteer help and donations, as well serving as the hosts of each of the quarterly General Parent Meeting/Enrichment night. They will be in charge of hospitality and attendance verification for each General Parent Meeting/Enrichment night. They are non-voting members of the executive board.

9. Past President. The immediate Past President(s) remains a lifetime member of the SFPA, may serve in an advisory, non-voting capacity on the executive board, when approved by the school President and the executive board of the SFPA. The Past President(s) act as a liaison between the past executive board and the new one, as well as a conduit to alumni parents.
